- Capital project review meeting took place with Perry CSD representatives, architect, engineer, and BOCES representation to discuss both phase 1 & 2 developments. Phase 1 bid openings are still set for April 30th in the HS cafeteria at 4:00pm. The primary scope for phase 1 is the HS roof and new pool unit.
- Phase 2 scope of work was reviewed. The classroom sink and cabinetry for room 221 within the Elem./MS was deleted upon the request of the principal.
- The concept of the new IP cameras, head end equipment, and camera locations were discussed in detail. BOCES provided insight into the districts infrastructure needs to accommodate additional cameras. BOCES requested that a detailed walk through be scheduled within the near future so a building audit can occur to evaluate each facilities existing network capabilities. Once the architect provides an updated drawing identifying the proposed camera locations, a walk through will be arranged. Data specifications for the new cameras was requested by BOCES.
- New cameras proposed per location are 15 (HS), 24 (Elem-MS), and 4 (Athletic Complex)
- Consider installing new A-phones at each facilities entrance so their data is recorded and tied into the existing camera system.
- Item H-54, 3 courses of brick will be removed above each set of windows.
- Item H-61, M/E Engineering requested the quantity of pump motors to be replaced within the HS boiler room. A mechanical representative will visit the district within the near future to specify the appropriate replacement motor.
- Item H101, question was raised on the possibility of installing loose fill insulation on the exterior walls of the pool area to increase the "R" value and reduce the vapor diffusion occurring inside the pool area.
- Additional alternates proposed for the Phase 2 portion of the capital project are: provide a new supply air vent in the pool coaches office creating a positive air environment to reduce the corrosion that occurs to computers and other electronic equipment. Convert the existing Lochivar pool heater to provide heat for the pool air in conjunction with a heat exchanger, glycol loop, and pumps. This will eliminate the need to run the existing boilers year round. Replace the HS gym speakers.

- Bid drawings, project manual, and specifications were delivered today from Clark-Patterson-Lee. Review of both sets of documents will start to fully understand the contractors requirements.
-Stohl Environmental's asbestos survey report for the HS phase 1 scope work received today. Questions regarding the documents content was sent to Kirk Edwards for clarification.
April 12, 2013
- Mike Jackson (Action Roofing) is scheduled to visit the HS on Sunday, April 14, 2013, for field measurements and take pictures needed to bid Phase I portion of the capital project.
April 15, 2013
- Weaver Metal Roofing is scheduled to walk the HS roof in order to bid Phase I scope of work this summer.
April 16, 2013
- Stohl Environmental plans to visit HS to continue the investigative work related to the roof work on 4/17/13.
- Elmer W. Davis plans on surveying HS roof in preparation for Phase 1 bids on 4/30/13.
- Email sent to Clark-Patterson-Lee regarding revised camera location drawing for phase 2. Clarification on general notes to drawing A201. Discussion on proceeding with handling of shop drawings, samples, and submittals during the project between the architect and contractor.
- Continue review process of project manual and bid drawings in preparation of phase 1 portion of capital project.

- Representative from Co-Genic will visit site on 4/19/13 to gather information to bid the new Pool unit under Phase 1 of capital project.
April 19, 2013
- Representatives from Henderson-Clark will visit site on 4/22/13 to measure HS roof for the Phase 1 capital project.
- Another roofing firm plans to visit site on 4/22/13 to take measurements for bidding phase 1.
-Spoke with Bill Santos (M/E Engineering) regarding the camera drawings currently listed as an alternate. He plans to issue the drawing on 4/26/13 for review. Drawing will list all new camera locations indicated at our last capital project meeting on April 8th.

- Jameson Roofing will visit site today to take measurements in order to bid Phase 1 of capital project.
- Spring Sheet Metal Roofing will visit the site to take measurements in order to bid Phase 1 of capital project.
- Grove Roofing will visit the site to take measurements in order to bid Phase 1 of capital project.

- Leo J. Roth Roofing will visit the site to take measurements in order to bid Phase 1 of the capital project.
- The State Education Department (SED) officially issued the building permit for the capital project, permit 12-0957.
- Homeguard Environmental will visit site to take measurements in order to bid Phase 1 of the capital project.

-Phase 1 bid openings took place at 4:00pm in the HS cafeteria. In attendance from the district was Dr. Stavisky, Laura Feldman, Lisa Kowasz, and Craig Woodworth. The architect (Clark-Patterson-Lee) was Dave Walters and Dean Frentz.
- A total of 12 roofing contractors received drawings to bid Phase 1. Six contractors actually bid the work. The bids for base bid #1 (EPDM Membrane with polyisocyanurate insulation) ranged from $933,250.00 to $1,162,000.00. Alternate #1 (Provide 1-1/2" additional insulation and install pressure treated perimeter edge blocking) bids range from $40,018.00 to $142,000.00. The low bidder for the Phase 1 roofing contract was Action Roofing Inc. with a base bid of $933,250.00 and alternate #1 bid of $44,800.00, totaling $978,050.00 (if BOE accepts alternate 1). The original estimate for the Phase 1 roofing was $1,350,000.00. Accepting the base bid and alternate #1 will result in $371,950.00 below the original construction estimate.
- Two roofing contractors bid on base bid #2 and alternate #2. Base bid #2 (Fleece back EPDM membrane with spray foam insulation) bids ranged from $1,387,677.00 to $1,491,750.00. Elmer W. Davis Inc. was the low bidder for base bid #2 at $1,387,677.00. Bids for alternate #2 (install pressure treated perimeter edge blocking) ranged from $140,000.00 to $198,000.00. Elmer W. Davis Inc. was the low bidder for alternate #2 at $140,000.00. The combined construction costs for base bid #2 and alternate #2 is $1,527,677.00. The estimated construction costs for the Phase 1 roofing project is $1,350,000.00. Accepting base bid #2 and alternate #2 would result in a $177,677 added cost to the capital project.
- A total of 5 mechanical contractors received drawings to bid Phase 1. Three contractors actually bid the work. The bids for base bid #1 (Replace PoolPak unit with efficient air heat recovery unit) ranged for $227,500.00 to $239,000.00. The low bidder for the Phase 1 HVAC contract is Cogenic LLC with a base bid of $227,500.00. The original estimate for the Phase 1 mechanical was $250,000.00. Accepting the base bid will result in $22,500.00 below the original construction estimate.
- The original construction cost estimate for Phase 1 (Roofing and Mechanical) was $1,600,000.00. If both low bids and alternate are accepted the construction costs will be $1,205,550.00, a total of $394,450.00 below the original construction cost estimate for Phase 1.
- Mike (Action Roofing) and Lynn (Cogenic LLC) did not have any concerns with the project drawings, specifications, or addendum 1. Each provided a bid bond at the bid opening.
